Map a lead-to-booked call pipeline.

CRM VAs are in demand because most businesses lose leads between the form and the call. Design the pipeline and follow-ups that fix that.

The client brief

Peak Form Fitness runs Facebook ads for a free trial week. Leads land in a spreadsheet and the front desk calls them when it's quiet. Half never hear back. The owner wants every lead contacted in five minutes and booked for a tour. Made-up client, fake data.

Do the task

1

Map the current mess

Read the sheet and note where leads get stuck. Most stall between "texted" and "booked".

2

Define the stages

New lead, Contacted, Booked, Showed, Joined, Lost. Each stage gets one clear rule.

3

Plan the follow-ups

Instant text, email after an hour, texts on day 1 and day 3, final email on day 7. Everything stops once they book.

4

Write the messages

Texts under 160 characters, first name, one question, and a "Reply STOP to opt out" line.

5

Draw the workflow

Trigger, wait, action, condition. Keep it on one page in Miro or Canva.

6

Build it if you can

In a GoHighLevel trial: pipeline, form and workflow. Screenshot every part.

More tips
  • Texting rules differ by country. Note that the client must confirm consent rules.
  • Tag every lead by source so the owner knows which ad works.
  • Mention missed-call text-back. It's one of the most requested features.
  • Keep a test contact with your own details to try the flow end to end.
